We are looking for an Office and Facilities Manager to lead, organize and coordinate administrative duties and office procedures. The Workplace Experience Manager plays a crucial role in shaping and enhancing the physical and cultural environments where employees work. You will be responsible for overseeing and optimizing various aspects of workplace design, functionality, and amenities to foster productivity, collaboration, and employee satisfaction. You will foster an environment here at Crunchyroll that is healthy, safe, and enjoyable for both employees and guests. You will be tech-savvy, possess excellent interpersonal skills, and is not afraid to roll up their sleeves to get the job done. This role is pivotal in promoting a positive and supportive work environment that contributes to organizational success and employee well-being on a global scale.

A Day In The Life:

  • Ensure that employees and managers have the required safety training and are consistently working in a safe manner; developing and implementing safety programs to prevent accidents and injuries.
  • Ensuring that the workplace comply with federal, state, local, and company policies and regulations related to safety and facilities.
  • Proactively engage closely with key partners in business and externally to provide transparency and best practices on emerging trends, risks and issues related to safety and facilities.
  • Manage all facilities focused on vendor relationships (including in office catering, snack and beverage services, janitorial, property management, security, and more).
  • Management of office budgets for (drinks, catering, office events, holiday parties, swag).
  • Improve and maintain the office, including furniture, kitchen area, meeting rooms, and general office open areas.
  • Oversee office supply inventory.
  • Lead and schedule routine maintenance and repair of workplace, office equipment, gym, and assist IT with technology for the office.
  • Provide support to the Workplace Experience Team for build outs, moves, physical space projects, and space planning.
  • Help coordinate projects related to the opening of new offices globally, including site selection, lease negotiations, space planning, and ensuring the office environment meets company standards.
  • Manage ongoing upkeep and renovations of existing offices to maintain a high-quality workplace experience across all locations. This includes coordinating with cross-functional teams, vendors, and stakeholders to ensure timely and efficient execution of office-related projects.
  • Recommend and implement office improvements to enhance our culture and employee wellness.
  • Support PeopleOps and IT teams as needed.
  • Work together with our global People Team for company social events, off-sites and all-hands meetings
  • Design and implement creative ways to remind employees of how we embody our mission statement.
  • Be a main point of contact for physical space and service related needs throughout the office.

Technical Skill Requisites:

  • Subject matter expertise in the areas of flexible work, future of work, employee experience.
  • Experience with translating a company's unique DNA and culture into meaningful employee experiences and workplace design.
  • Experience of corporate real estate practices including lease negotiation, capacity planning, construction, vendor and portfolio management with fiduciary discretion, design and corporate sustainability in mind
  • Progressive experience supporting an internationally distributed workforce across large and small offices and remote locations with a history building and implementing a scalable system of standard operating procedures.
  • Strong planner, program designer and project manager; experience with organization-wide implementation
  • Strong knowledge of industry standards and safety protocols, including local regulatory requirements (US, EMEA.) with prior leadership experience in incident management and emergency/crisis response efforts.
  • Leadership experience managing both a globally distributed team and a workplace portfolio including new site selection, budgeting, office operations, vendor management and health and safety compliance.

Leadership Skills:

  • Solve problems that are new (no precedent or policy – yet); manage difficult issues while keeping an eye to the future
  • Interact with executives, managers and employees while building a climate of trust and collaboration
  • Advanced analytical and problem-solving skills. Ability to use metrics to assess organizational and employee needs, evaluate feedback and translate them into actionable recommendations to improve the work environment
  • Strong cross functional collaborator and influencer; Ability to navigate complex issues while promoting solutions-oriented approaches and advocating change.
  • Experience developing and leading a service-oriented team culture, known for high craft and execution
  • Experience in highly decentralized decision-making environments; experience achieving objectives through others
  • A core values steward and champion, with a deep commitment to inclusion and diversity.

About You:

  • Bachelor's degree preferred.
  • 7+ years of demonstrated ability in facilities and workplace management experience.
  • Working knowledge of architectural, electrical and mechanical systems, leases, contracts and related documents.
  • Knowledge of emergency/crisis management for building operations.
  • Track record in fiscal management and experience preparing and monitoring budgets.
  • Adaptable and ability to thrive in a fast-paced environment.
  • Ability to solicit buy-in from key stakeholders spread across locations globally.
  • Ability to act as a flexible and innovative team player with a roll-up-the-sleeves demeanor and a hands-on approach
  • Tech savvy, with strong G-Suite skills.
  • Professional written and verbal communication.
  • Strong attention to detail and team leadership skills.
  • Ability to lift 50 lbs and handle physical tasks as needed (examples, moving furniture and freight deliveries).
