About the Role:
At Auth0 by Okta, we’re on a mission to build trusted identity experiences for developers, businesses, and end users. Our research team plays a critical role in uncovering the insights that help us build secure, scalable, and user-centered products, and we're looking for a Senior Research Operations Specialist to help us scale our impact.
In this role, you’ll be responsible for optimizing our research infrastructure, managing participant operations, and improving the way insights are shared and activated across the company. You’ll collaborate closely with researchers, designers, PMs, and cross-functional partners to ensure research is delivered efficiently and effectively ensuring that the insights we uncover are accessible, actionable, and reusable. This is an exciting opportunity to join a growing research function and have real ownership to help shape how research operations evolve at scale.
You’ll report to the UX Research Manager and be a key part of building the systems, processes, and partnerships that make high-quality research possible across the organization.
Key Responsibilities:
- Tooling & Insight Accessibility
- Maintain and optimize research tools and processes (e.g., Dovetail, Confluence, Jira, Heap, GreatQuestions), ensuring insights are organized, searchable, and adopted across teams.
- Organize and uphold folder structures, tagging conventions, and naming systems to make insights easy to find and reuse.
- Support ingestion of self-service research and ensure consistent documentation practices.
- Help optimize insight-sharing channels to increase visibility of research across the org.
- Coordinate tooling access and provisioning with Legal, IT, and Security teams.
- Support enablement programs to help stakeholders access insights in Dovetail and Heap.
- Participant Management & Recruitment
- Manage and grow the research participant panel, including recruitment logistics, incentive tracking, and ongoing data hygiene.
- Help maintain and evolve the Auth0 Research Program to support continuous, proactive research engagement.
Coordinate participant outreach and scheduling in partnership with researchers and cross-functional stakeholders.
- Operational Efficiency & Process Support
- Support optimizing research intake triage, prioritization, and tracking via Jira or similar tools.
- Identify operational bottlenecks and collaborate on improvements to workflow efficiency.
Document processes and best practices to enable scalable, repeatable research execution across research and cross-functional teams.
- Cross-Functional Collaboration & Insight Coordination
- Partner with Research, Design, Product, Marketing, and other insights functions to reduce duplicative research and increase insight reuse.
- Help identify and connect insights from other teams (e.g., support, PMM) into the centralized research repository.
Act as a point of contact for teams needing access to research tools or findings.
- Insights Activation & Reporting
- Support and optimize rituals that drive insight activation, such as research readouts and synthesis sharing.
- Track operational and engagement metrics (e.g., repository usage, panel participation, research velocity).
- Assist in reporting impact to senior stakeholders and surfacing areas for continued improvement.
Required Experience & Skills:
- 3–5 years of experience in research operations, UX/research support, or program coordination.
- Strong experience with managing research and adjacent tooling (e.g., Dovetail, Confluence, Jira, GreatQuestions, Qualtrics, Heap etc.).
- Proven ability to manage logistics, intake workflows, and cross-functional requests.
- Excellent communication and project coordination skills.
- Comfortable working with minimal supervision in a fast-paced environment.
- Experience driving process efficiency, scaling systems, and standing up repeatable programs.
- Strong stakeholder management and cross-functional collaboration capabilities.
- Ability to operate autonomously in ambiguous, evolving environments to ensure research continues to scale.
Preferred Experience:
- Experience supporting research in SaaS, developer tools, or security-focused products
- Familiarity with participant panels, compliance workflows, or incentive tools
- Exposure to metrics reporting and research impact measurement
**Must attend in person onboarding in Toronto the first week.
