MongoDB's GTM organization runs on a portfolio of 100+ SaaS applications across Sales, Marketing, Legal, and Customer Service Management – representing $$$M in annual contract value. We are on a mission to reduce that footprint by 30–50% while ensuring our teams have exactly the tools they need. The GTM SaaS Portfolio Analyst will be the operational backbone of that effort, sitting within the IT Pillar and working at the intersection of business strategy, technology, and stakeholder engagement.

This role goes beyond traditional IT analysis. You will own the full lifecycle of app evaluation- from inbound new tool requests to rationalization of the existing portfolio- driving structured, data-informed decisions that directly impact how MongoDB scales its GTM technology investments.

The right candidate for this role will

  • Have strong analytical instincts and the ability to evaluate whether an existing tool can cover a new capability request- and where gaps exist (~20%), determine whether they can be closed through configuration or lightweight build rather than net-new procurement
  • Be comfortable facilitating discovery calls with functional owners across multiple business units, asking the right questions to understand usage, business value, and ROI
  • Have experience with SaaS tools, vendor contracts, or software procurement- ideally in a GTM, RevOps, or IT context
  • Be able to build data-driven business cases including cost-benefit and ROI analysis to support consolidation and rationalization recommendations
  • Translate business requirements into clear, actionable specifications- and communicate trade-offs and recommendations effectively to both technical and non-technical audiences
  • Conduct fit-gap analysis, process mapping, and system capability assessments to align business needs with technology solutions
  • Analyze system usage, adoption, and performance metrics using tools like Lumos to surface underutilized licenses and consolidation opportunities
  • Partner with TPMs and engineering teams to assess whether capability gaps can be addressed in existing platforms (e.g., Salesforce) before recommending new tool procurement
  • Leverage AI and analytics tools to enhance reporting, analysis, and operational efficiency
  • Manage multiple concurrent workstreams across different functional owners without losing track of timelines, renewal dates, or open decisions
  • Identify patterns across systems and processes and recommend scalable improvements
  • Be knowledgeable of and experienced with working in Agile/Scrum environments

Position Expectations

  • Own end-to-end analysis for new app requests: assess whether an existing app covers the requested capability, evaluate whether it can be extended to the requesting team, and where coverage is partial, determine whether the remaining gap can be addressed through configuration or lightweight build
  • Drive SaaS rationalization across active dispositions (Analysis Required, Consolidate/Migrate, Negotiate & Right-Size)- initiating discovery calls, producing recommendation documents, and tracking stakeholder alignment per app
  • Build and maintain the SaaS portfolio tracker, ensuring renewal dates, dispositions, functional owners, and action items are current and visible to IT leadership
  • Partner with BU champions across GTM Field Operations, Marketing, Management, and Legal to understand how tools are used and what the cost of change would be
  • Facilitate cross-functional alignment discussions and communicate insights, risks, and trade-offs clearly- including escalating to leadership when decisions are blocked
  • Produce executive-ready recommendation documents and summary materials ahead of renewal deadlines and governance reviews
  • Support planning and execution of application consolidation roadmaps, including tracking dependencies, migration efforts, and go-live readiness activities
  • Contribute to post-launch stabilization and enablement for any tool transitions or new implementations

Qualifications:

  • Bachelor's or Master's degree in Computer Science, Information Systems, or equivalent
  • 8+ years of techno-functional experience in a business analyst, IT analyst, operations analyst, or similar role - ideally within a SaaS, tech, or high-growth company environment
  • Experience working with SaaS tools, software vendor contracts, or technology procurement processes
  • Strong analytical skills: comfortable pulling and interpreting usage data, building cost-benefit comparisons, and synthesizing findings into clear, actionable recommendations
  • Excellent written communication - ability to produce well-structured documents for senior stakeholders that are clear, concise, and decision-ready
  • Ability to manage multiple concurrent workstreams across different functional owners, keeping track of renewal timelines, open decisions, and action items simultaneously
  • Proficiency in Excel or Google Sheets for data analysis, and familiarity with tools like Slack, Google Workspace, Confluence, or similar collaboration platforms

Nice to have

  • Familiarity with Lumos, SaaS360, or similar SaaS management or ITAM platforms
  • Exposure to GTM tools - CRM (Salesforce/Hubspot), sales engagement, data enrichment, or marketing automation platforms
  • Prior involvement in software rationalization, vendor consolidation, or IT spend management programs
  • Understanding of how SaaS contracts work: ACV, enterprise license agreements, renewal terms, and usage-based pricing structures
  • Experience working in Agile or Scrum environments alongside engineering and product teams

Success Measures

  • You’ll have fully ramped on the 100+app portfolio, established working relationships with key BU champions, and begun leading independent discovery calls and app reviews in 3 months 
  • You’ll have measurably reduced the “Analysis Required” backlog, with at least 10 apps moved to a clear disposition with documented rationale and stakeholder sign-off. New app request turnaround will be running at 48–72 hours in 6 months 
  • You’ll have contributed meaningfully to the 30–50% app reduction target, built a clean and well-maintained SaaS catalog, and established yourself as the go-to resource for GTM tool decisions across the organization in 12 months
