The Opportunity
We’re looking for an experienced, sharp, and highly trustworthy Senior Executive Assistant in direct support of our Chief Financial Officer. You’ll work alongside leaders to maximize their ability to focus on the team’s key priorities in supporting Flexport’s continued growth.
This role is ideal for someone who thrives in a fast-moving, ambiguous environment, and who brings a calm, strategic presence to dynamic executive offices. You will act as a force multiplier, managing day-to-day operations, enabling strategic alignment, and strengthening communication across the business.
Role responsibilities include managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel. This candidate will help build a positive team environment and establish working relationships inside and outside of the group.
You will:
- Act as a strategic business partner to the CFO by proactively managing priorities, schedules, communications, and flow of information.
- Facilitate executive alignment and decision-making by preparing briefing materials, synthesizing insights, and coordinating input from senior leaders across the business.
- Serve as a liaison with the C-Suite, board members, investors, and external partners—ensuring seamless, professional, and discreet communication.
- Masterfully manage logistics for complex calendars, board meetings, investor events, international travel, leadership offsites, and key company-wide milestones (e.g., QBRs, financial reviews).
- Anticipate and resolve challenges proactively, creating structure and efficiency to relieve bandwidth pressure from the CFO.
- Handle sensitive and highly confidential information with the utmost discretion, trustworthiness, and sound judgment.
- Elevate operational excellence by developing processes that streamline workflows, improve communication, and optimize executive productivity.
- Mentor and collaborate with other EAs to enhance coordination and strengthen the broader executive support function.
You should have:
- A BA/BS degree and 8-11+ years of experience supporting senior executives in fast-paced, high-growth environments (tech or start-up experience preferred).
- Impeccable communication skills — concise, clear, and thoughtful, with strong writing ability.
- A track record of handling sensitive matters and navigating complex dynamics with diplomacy and sound judgment.
- Strong emotional intelligence, with the ability to anticipate needs, resolve issues proactively, and foster a culture of trust.
- A bias for action — you operate with urgency, adapt quickly, and keep momentum high even when the path isn’t perfectly clear.
