What's the opportunity?
The Procurement Associate provides expertise in processes and systems, managing the requisition to PO workflow and supporting business partners in the process. The candidate will contribute to the development and implementation of business-wide procurement processes collaborating closely with internal stakeholders and vendors to maintain smooth procurement operations. Reporting to the head of procurement, the successful candidate will play an important role in supporting the procurement process.
What will I be doing?
- Manage the requisition-to-PO flow by assisting stakeholders in raising requisitions and following up until the PO is sent to the vendor (Zip) and contract documentation is fully executed (Ironclad).
- Manage the purchase order process from start to finish (P2P).
- Support internal stakeholders with initial vendor requests and assist the supply base with onboarding in Zip.
- Provide procurement support and training for stakeholders as needed, offering guidance throughout the procurement process.
- Build strong working relationships with key stakeholders to ensure requirements are clear and Intercom’s requisition-to-PO process is followed.
- Participate in vendor pricing and commercial negotiations (e.g., payment terms, discounts).
- Adhere to the company’s procurement policies and procedures.
- Liaise with the Legal team, conducting the first review of agreements and highlighting any escalations.
- Review requisitions to ensure completeness, accuracy of goods/services descriptions, and alignment with agreed pricing.
- Ensure requisitions are issued in accordance with Intercom’s requirements before approving, and process approvals in a timely manner.
- Collaborate with the AP team to ensure timely invoice payments.
- Liaise with the systems admin team to resolve day-to-day system challenges for stakeholders.
- Assist the Sr. Procurement Administrator with monthly reporting and KPIs.
- Perform daily procurement activities, including tactical and operational tasks as required.
What skills do I need?
Minimum of 2 years of relevant procurement experience, with proven expertise in P2P systems, preferably Zip.
- Excellent written and verbal communication skills.
- Detail-oriented, curious, analytical, and able to think outside the box to solve problems and develop solutions.
- Demonstrate highly effective collaboration both internally and externally, maintain a strong focus on success, be committed to continuous improvement, and operate effectively with minimal supervision.
- Experience working with both internal and external stakeholders.
- Capable of handling urgent and changing tasks and bringing them to timely resolution.

*Proof of eligibility to work in the United States is required.
The base salary range for candidates within the Greater Chicago Area is $92,000 - $110,000. Actual base pay will depend on a variety of factors such as education, skills, experience, location, etc. The base pay range is subject to change and may be modified in the future. All regular employees may also be eligible for the corporate bonus program or a sales incentive (target included in OTE) as well as stock in the form of Restricted Stock Units (RSUs).
