The Role
Are you an operations minded builder who thrives in fast moving environments and loves bringing order to complexity? Pantheon is seeking a Marketing Coordinator who will enable our Marketing leader while creating the internal structure that helps the Marketing organization operate smoothly and predictably. This role sits at the center of Marketing’s operating system: coordinating work across teams, building lightweight processes, tracking commitments, driving clarity, and keeping leadership ahead of what is needed. You’ll bring high judgment and exceptional organization to ensure that the right conversations happen at the right time, internal programs run effectively, and our leaders are consistently prepared for decisions, reviews, and cross functional alignment.
This is a unique opportunity to shape how the Marketing organization functions day to day while directly supporting two senior executives in a high growth, high visibility environment.
Responsibilities
Marketing Rhythms
- Own the operating rhythms for the Marketing organization including planning cycles, calendars, meeting cadences, and internal workflows.
- Build and refine lightweight processes that create clarity and predictability without adding unnecessary complexity.
- Track internal programs, priorities, deadlines, and cross functional commitments, ensuring leadership has the visibility needed to stay aligned.
- Coordinate work across Sales, RevOps, Finance, Product, Customer, and People to keep Marketing unblocked and moving.
- Prepare materials, agendas, documentation, and follow through for weekly and monthly Marketing leadership meetings.
- Monitor risks, blockers, and misalignments and surface them early.
Program Management
- Manage internal Marketing programs including planning cycles, offsites, all hands, and internal communications.
- Coordinate timelines, dependencies, status updates, and resourcing needs across the org.
- Build or refine workflows that support planning, execution, and cross functional coordination.
- Maintain visibility into progress and support leadership in making clearer, faster decisions.
Executive and Team Support (Marketing Leadership)
- Provide high judgment calendar management, aligning priorities with business needs.
- Manage expense tracking, contract management, and invoice/PO fulfillment to maintain budget hygiene and prompt responses to vendors and partners.
- Coordinate team travel, logistics, meeting preparation, notes, and follow ups.
- Track deadlines, deliverables, and upcoming reviews to ensure leaders stay ahead.
- Surface internal communications needs and help keep leaders on track with updates.
- Manage agendas, documents, and follow through for key leadership meetings.
Qualifications
Experience
- 5 plus years in marketing operations, program management, executive support, or similar roles in tech or high growth environments.
- Proven ability to support senior executives with high judgment and strong organizational skills.
- Demonstrated success building processes and operating rhythms in fast moving teams.
- Experience coordinating work across Marketing, Sales, Finance, or other GTM functions.

What Success Looks Like
First 90 Days
- Establish a clear understanding of Marketing’s operating rhythms, needs, and gaps.
- Build strong working relationships with the Marketing leaders.
- Implement a basic structure for tracking commitments, timelines, and follow through.
- Bring predictability and visibility to weekly and monthly meetings and planning cycles.
First Year
- Create a stable operating foundation for the Marketing organization with clear processes, planning rhythms, documentation, and internal communication practices.
- Improve cross functional coordination with Sales, RevOps, Finance, Product, and Customer teams.
- Ensure executives are consistently prepared and ahead of key decisions and deliverables.
- Deliver well run internal programs including Marketing offsites, all hands, and planning cycles.
Long Term Impact
- Marketing operates with greater clarity, predictability, and alignment.
- Marketing Executives can operate at a higher strategic altitude due to reliable operational support.
- Lightweight and effective processes scale with the team as it grows.
- Cross functional partners experience smoother collaboration and more consistent execution.
