Your Day-to-Day

 

Front-line Ambassador:

Greet visitors warmly, ensuring a positive first impression.

Calendar & Meeting Management:

Manage executives' calendars, schedule and confirm meetings, and resolve conflicts.

Ensure all details are included in Google Calendar (Zoom, room, coworking).

Communication & Coordination:

Handle internal/external communications, notify attendees of any changes, and confirm

availability for meetings.

Travel Arrangements:

Book flights, hotels, and transfers. Organize itineraries and upload travel details to

Expensify.

Food & Beverage Management:

Organize catering, coffee breaks, and food orders through internal tools and vendor

coordination.

Expense Management:

Collect and submit receipts, review direct report expenses, and track budgets for travel

and events.

Vendor & Event Logistics:

Coordinate with vendors for transport, meetings, and events. Manage logistics for

offsites and onsite events.

File & Records Management:

Organize and maintain important files and documents.

Special Projects & Support:

Assist with ad-hoc projects, cultural activities, and engagement events.

Client Experience:

Plan and organize client-related meetings, meals, and events, including transportation

and logistics.

Administrative Support:

Provide support for executive meetings, document preparation, and communication.

Travel & Entertainment Reimbursement:

Process travel and entertainment expense reimbursements, ensuring proper

documentation.

Must-have Skills

  • 3+ years of professional experience working as an Executive Assistant or in a similar
  • role.
  • Complete availability.
  • Service-oriented.
  • Detail-oriented.
  • Determined, motivated and goal-driven.
  • Fluent in both English and Spanish, with outstanding verbal and written communication
  • skills in both languages.
  • A positive disposition and good attitude under pressure
