The Problems You'll Solve

  • Build trusted partnerships with the General Counsel, two Vice Presidents, their leadership teams, and key stakeholders across the business 
  •  Develop a strong understanding of the company’s business, products, risk profile, and regulatory environment; know the org structure, decision-makers, and escalation paths across global offices
  • Proactively and accurately manage complex, high-volume calendars for three leaders, including legal deadlines, board/audit committee touchpoints, cross-functional reviews, and multi–time zone coordination; anticipate conflicts and reprioritize proactively
  • Triage and draft replies to confidential communications; monitor inboxes, task/project tools, and collaboration channels (e.g., Slack/Teams); route privileged matters appropriately and ensure timely follow-up
  • Plan and execute legal team meetings, trainings, offsites, and outside counsel briefings; coordinate agendas, pre-reads, minutes, action items, budgets, logistics, hospitality, and post-meeting follow-through
  •  Book travel and manage logistics for hearings, depositions, customer/partner meetings, and conferences; process expenses promptly in accordance with policy and sound judgment
  • Review and approve expenses, travel, and time-off requests for the executives’ direct reports; partner with Finance on invoice routing, accruals, and budget tracking
  • Maintain a pulse on the legal organization and broader business, serving as a trusted conduit between leadership and teams; surface risks, feedback, and opportunities while rigorously protecting confidentiality and privilege
  •  Identify and implement process and tooling improvements across the Legal and Compliance org to drive clarity, efficiency, and scale
  • Exercise impeccable discretion; rigorously safeguard attorney–client privilege and sensitive legal, business, and personnel information, sharing only on a need-to-know basis via secure channels

The Team You'll Work With

We are looking for a Executive Assistant to join our Executive Admin team and support our General Counsel and 2 Vice Presidents across our Legal and Compliance team. This person will report to our EA manager and work closely with our EA team.

Carta’s Executive Admin team blocks and tackles for our leadership teams to help create the space and bandwidth for our leaders to focus on our big bets. We play an important role helping leaders understand their blind spots and keep a ‘pulse’ on their teams. We work both autonomously with leadership - calendaring, meeting and agenda prep, expenses and projects - and also collaborate as a team on broader projects - events, offsites, training and best practices. Our team sits in offices across New York, San Francisco and Seattle.

About You

You are a roll-up-your-sleeves, “get in the weeds,” individual that has experience supporting multiple senior leaders  in a fast paced startup environment. You are incredibly detail oriented, thoughtful and proactive. You can block and tackle for your executive and navigate ambiguity. You know how to find common ground with leadership and peers alike to build relationships. You are professional and eager to learn.

Qualifications

  • 5+ years of Executive Assistant experience  supporting a senior leadership role (C-suite)
  • Heavy calendar management and travel experience
  • Ability to effectively multitask and prioritize on a daily basis
  • Excellent written and verbal communication skills

Salary

Carta’s compensation package includes a market competitive salary, equity for all full time roles, exceptional benefits, and, for applicable roles, commissions plans. Our minimum cash compensation (salary + commission if applicable) range for this role is: 
$63.34 - $74.52  in New York 

Final offers may vary from the amount listed based on geography, candidate experience and expertise, and other factors.
