High-Level Overview
Our Operations team in Calgary is looking for a proactive Disbursement Operations Administrator to join our fast-paced environment. Ideal candidates are self-motivated, collaborative, and adaptable. In this role, you will investigate payment statuses on behalf of our nonprofits and clients, process rejected payments, help process disbursements to nonprofits, and support the Operations team with a variety of client requests and daily operational tasks.
You thrive in ambiguous environments and are naturally curious — able to quickly learn new tools with minimal documentation and spot trends or issues. Your attention to detail and strong communication skills will be key to your success here.

What you'll do:
Disbursement Resolution & Optimization
- Investigate and resolve outstanding disbursement issues.
- Manage the administration and verification of monthly donation disbursements to nonprofits.
- Create documentation and training materials to maintain compliance and support disbursement operations.
- Liaise with cross-functional teams to communicate issues and drive problem-solving.
- Identify and propose process enhancements, contributing to a culture of continuous improvement with client experience at the forefront.
- Support Accounts Payable tasks using Oracle ERP.
Stakeholder Collaboration & Communication
- Build and maintain strong relationships with key Operations and Support stakeholders.
- Partner with banking partners to address outstanding payment questions.
- Coordinate with internal teams to follow up on client and nonprofit inquiries.
What you'll bring:
Education & Experience
- A Bachelor's degree or equivalent education and experience.
Analytical & Problem-Solving Skills
- Strong critical thinking skills and a creative approach to problem-solving.
- Solid analytical ability with a commitment to accuracy and quality.
- Exceptional attention to detail.
- Clear communication skills, with the ability to present findings to non-technical audiences.
Technical Proficiency
- Proficiency in the MS Office Suite, with advanced Excel skills.
- Preferred: Experience with an Enterprise Resource Planning (ERP) system, such as Oracle ERP.
- Asset: A technical mindset with experience leveraging AI for process improvement.
- Asset: Experience with global disbursements or international payment processing.
Organizational Skills
- Strong organizational skills with the ability to manage multiple priorities under tight deadlines.
- Able to work independently and take ownership of tasks.
