Our tight-knit team consists of recruiters, program managers, and human resources specialists, and our job is a big one: create best-in-class processes and programs that find, grow, and retain amazing talent at Gemini.

The Role: Associate, Recruiting Operations

As a Recruiting Operations Associate, you’ll play a large role in contributing to the Talent Acquisition Team's success in hiring and retaining amazing talent at Gemini. You'll be responsible for providing support to many aspects of the recruitment and hiring lifecycle with a primary focus on requisition management, offers, and the hiring workflow. This role is an exciting opportunity to grow your skills in operations, systems management, enablement and training, and reporting, all with a focus on process and stakeholder management.

This role is required to be in person twice a week at our New York City, NY office.

Responsibilities:

  • Collaborate with Recruiters and Business Leaders in opening, editing, and closing requisitions.
  • Serve as the point of contact for generating and sending all offers globally as well as marking candidates as hired. This includes initiating background checks and sending initial onboarding communications.
  • Navigate any integration errors associated with requisitions and hires between our HRIS (Workday) and ATS (Greenhouse) with our HRIS Tech Lead.
  • Uphold data integrity and our processes to ensure clean data and documentation for audits.
  • Manage our recruiting operations slack channel for requests such as Hiring Manager and Recruiter changes, job description changes, and up-levels or down-levels of requisitions.
  • Process any start date changes or offer withdrawals after a candidate has been hired.
  • Conduct basic ATS reporting such as open roles, offers in process, hires for the year, etc.
  • Partner with our external recruiting-related tools/platforms, assist with the implementation and integration, and manage our user base (e.g. LinkedIn Recruiter, Greenhouse, CoderPad).
  • Own bi-weekly referral bonus audits for our referral program.
  • Help organize and maintain confidential documents for new hires.
  • Document new Recruiting Operations processes and keep our Standard Operating Procedures (SOPs) up-to-date.
  • Collaborate with Recruiters to ensure we’re providing the best possible candidate experience and our People Operations team to ensure we’re providing the best possible onboarding and new hire experience.
  • Work on Recruiting Operations related projects such as Greenhouse automations, process updates, and training.

Qualifications:

  • Bachelor’s Degree.
  • 2-3 years of experience in Recruiting Operations, People Operations, or a people-oriented role.
  • 1+ years of hands-on experience with Greenhouse, specifically in creating and configuring new process flows and features.
  • Experience in a fast-paced and high-growth global organization wearing many hats - startup preferred.
  • Proficiency with Google Suite (Gmail, Google Calendar, Drive, Sheets) and Slack.
  • Exceptional administrative skills, including organization, high attention to detail, proactive communication, and responsiveness.
  • Excellent written and verbal communication skills with people at all levels.
  • Demonstrated judgment and ability to deal with confidential and sensitive matters effectively.
  • Ability to be flexible in a constantly changing environment and reprioritize accordingly to immediate needs.
  • Ability to identify areas for process improvement and give recommendations for how to improve.
  • Ability to perform data analysis and audits.
  • Capability to manage multiple projects at any given time, with a sense of urgency and clear prioritization.
  • Be resourceful and ask good questions when a task, process, or project may be unclear.

Salary Range: The base salary range for this role is between $82,500 - $110,000 in the State of New York, the State of California and the State of Washington. This range is not inclusive of our discretionary bonus or equity package. When determining a candidate’s compensation, we consider a number of factors including skillset, experience, job scope, and current market data.

In the United States, we offer a hybrid work approach at our hub offices, balancing the benefits of in-person collaboration with the flexibility of remote work. Expectations may vary by location and role, so candidates are encouraged to connect with their recruiter to learn more about the specific policy for the role. Employees who do not live near one of our hubs are part of our remote workforce.
