Board Assistant

We are looking for an Executive Assistant to support the members of Adyen’s Management Board on a daily basis. This role reports to the CHRO and works closely with the Corporate Governance team. 

Your work will enable Adyen’s Management Board to become the most customer-focused financial technology platform. Among other tasks, you will be responsible for managing executive calendars, meeting logistics, emails, and travel schedules. You will keep track of progress on key internal projects, assist with expense management and manage various administrative & notarial tasks for the Corporate Governance team. You will also be responsible for owning critical communication with external stakeholders including, but not limited to, customers, partners, investors, the Adyen Supervisory Board, and various regulators.

A successful candidate is a highly organized and detail-oriented team player with a proven track record in an executive assistant function that promotes high levels of professionalism and discretion in a fast-paced environment. Being able to switch quickly between longer-term project planning and tactical execution is essential for this role, as well as being comfortable working closely with senior stakeholders, internally and externally.

What you’ll do

  • Manage seamless meeting logistics (both in-person and via videoconferencing) for internal and external stakeholders
  • Create travel schedules (domestic and international), including logistics, hotels and meeting venues
  • Act as the first point of contact relating to requests for the Management Board
  • Coordinate expense reporting and invoicing
  • Assist in corporate secretarial matters and liaisons with external advisors
  • Lead broader team projects and track progress in a structured and comprehensive way
  • Prioritize and appropriately handle time-sensitive information and ensure the action required is addressed in a timely manner
  • Constantly look for additional areas of impact and improvement that will increase the speed of execution of Adyen and the Management Board

Who you are

  • You have proven experience in a similar role, preferably in a high-growth company in the technology or financial industry
  • You are hands-on, detail-oriented, structured and take full ownership and accountability over your projects
  • You are an independent worker, with strong judgment and ability to make decisions quickly
  • You are able to work comfortably with people at all levels of the organization, and you have experience in working with executives
  • You have advanced proficiency with Google and MS Office (Gmail, Calendar, Slides, Sheets, MS Excel, MS Word) in a business environment
  • You are a people person and love working in a service-oriented role 
  • You maintain a very high level of integrity and discretion
  • You have excellent communication skills (both in your writing and speaking)
